Privacy Policy
We collect very little, we keep it in Canada, and we never sell it. This page says exactly what we hold and what you can ask us to do with it.
Effective October 11, 2026
Who we are
Avover System Inc. (“Avover”, “we”, “us”) is a Canadian company at 525 Nicola Street, Kamloops, BC V2C 6J5. We make software that automates shift coverage for social services, home care and community organizations.
For anything in this policy, write to admin@avover.ca. That address reaches the person accountable for privacy at Avover.
Two different roles
We handle personal information in two distinct ways, and your rights differ depending on which one applies.
This website, and talking to us about buying
When you book a demo or email us, we decide how that information is used. This policy governs it, and you can exercise your rights with us directly.
Data inside the Avover service
When your employer subscribes to Avover, we hold their staff and scheduling records on their behalf and act on their instructions under our subscription agreement. Your employer decides what goes in, who sees it, and how long it stays. If you are an employee of one of our customers and you want to see or correct your own record, ask your employer first: we will help them respond, but we cannot release or change their records on our own.
What this website collects
The demo and waitlist forms. Your name, work email, and (where you choose to fill them in) your organization, your role, roughly how many people you schedule, and what is going wrong today. We also record which form the enquiry came from. Everything except name and email is optional.
Standard server records. Our hosting keeps ordinary technical logs (IP address, browser type, page requested, timestamp), which we use to keep the site up and secure.
Analytics. We use Google Analytics to count visits, see which pages get read, and see where people arrived from. It also notes that a demo request or a cost-calculator unlock was sent, but not what you typed. It sets cookies in your browser and sends that information to Google. Our settings allow Google to use it for ad personalization: if you are signed in to a Google account with ad personalization on, your visit here can shape the ads Google shows you, including ads for Avover. You can turn that off in your Google ad settings. We run no other ad pixels, and we do not record or replay your session. Block Google Analytics with any content blocker and the site works exactly the same.
Why we use it
To answer your enquiry, run the demo you asked for, send the information you requested, and keep normal business records of who we have spoken with. That is the whole list.
We do not sell, rent or trade personal information. Apart from the Google Analytics setting described above, we do not share it for anyone else’s marketing. We make no automated decisions about you that carry legal or similarly significant effects.
Staff data inside the service
For customers, the service typically holds staff names and work contact details, role and qualifications, seniority position, availability, shift assignments, call-out and coverage records, and the log of messages the system sent and the replies it received. That log is the audit trail: it exists so an agency can show a board, a union or a funder how a shift was filled.
Records are retained for the life of the subscription plus a retention period the agency configures. Customers can export their data at any time, and we return or delete it at the end of the engagement on the agency’s instruction.
Where it lives, and how it is protected
Customer data is stored in Canada, encrypted in transit and at rest, with access limited to the Avover staff who need it to operate and support the service.
We handle personal information in line with PIPEDA and applicable provincial privacy legislation. For customers in the health sector, we are building toward PHIPA alignment and will enter into the agreements your regulator or funder requires. Ask us where that work currently stands before you rely on it.
No system is perfectly secure. We use safeguards appropriate to the sensitivity of the information, and if a breach creates a real risk of significant harm we will notify affected customers and the relevant regulator as the law requires.
Service providers
We rely on a small number of providers to run Avover: cloud hosting and storage, text-message delivery, and email. They may process personal information only to provide those services to us, under contracts that require confidentiality and appropriate safeguards. We will give any customer or prospective customer the current list on request.
We may also disclose information where the law compels it, or to establish or defend a legal claim. If we are ever required to hand over customer data, we will tell the customer unless we are legally prohibited from doing so.
How long we keep enquiries
We keep demo and waitlist enquiries for up to 24 months from our last contact with you, then delete them. Ask us sooner and we will delete yours.
Your rights
You can ask us to:
- tell you what personal information we hold about you;
- correct anything inaccurate or incomplete;
- delete your enquiry and stop contacting you;
- withdraw consent you previously gave, subject to legal and contractual limits.
Email admin@avover.ca and we will respond within 30 days. There is no charge. If you are not satisfied with how we handled your request, you can complain to the Office of the Privacy Commissioner of Canada at priv.gc.ca or 1-800-282-1376, or to your provincial privacy commissioner.
Children
Avover is sold to organizations and is not directed at children. We do not knowingly collect personal information from anyone under 16 through this website.
Changes to this policy
If we change this policy we will update the effective date above. Where a change materially affects how we handle customer data, we will notify customers directly rather than relying on this page.
